Arabia Travels Booking Terms & Conditions

Thank you for choosing Arabia Travels for your Umrah journey. Before completing your booking and paying the deposit, please carefully review the following terms and conditions. By proceeding with your deposit payment, you agree to the terms outlined below.

1. Deposit and Payment Terms

- Deposit Requirement: A deposit is required to confirm your booking. The amount of the deposit will be specified on your invoice and must be paid within the stated deadline and will count towards your package amount.

- Payment Schedule: The remaining balance of your trip cost must be paid according to the payment schedule provided. Failure to meet payment deadlines may result in the cancellation of your booking, and the deposit will not be refunded.

- Non-Refundable Deposit: Once paid, the deposit is non-refundable unless otherwise specified.

- If the booking deposit is not made on the specified time, we will not book your trip, and any future changes in price may reflect on your package.

2. Flight Cancellation, Changes, and No-Shows

- Non-Refundable Tickets: Some flight tickets booked through Arabia Travels are non-refundable, particularly special promotional fares. Refund eligibility will depend on the airline’s policy.

- Flight Cancellations or Changes by the Customer: If you need to cancel or make changes to your flight after booking, this may result in additional charges, depending on the airline's policy. Changes such as date modifications, name changes, or class upgrades may attract fees.

- No-Shows: If you fail to show up for your scheduled flight without prior cancellation, you will forfeit the full cost of the ticket, and no refund will be provided.

- Airline Cancellations or Changes: If the airline cancels or reschedules your flight, Arabia Travels will assist in making alternative arrangements. However, we are not responsible for any costs associated with such changes, including additional charges for new flights or accommodation. You may need to claim any additional expenses directly through the airline as a result of any cancellations or changes to your flight schedule.

3. Hotel Cancellations and Changes

- Cancellation Fees: Hotel cancellations may attract fees depending on the hotel's cancellation policy. Hotels may charge a cancellation fee or offer no refund at all if cancelled within a certain time frame.

-Non-Refundable Hotel Bookings: Some hotel bookings, especially special rates or promotional offers, are non-refundable.

- Room Changes: Any changes to your hotel booking, such as room type or extension of stay, may incur additional charges. Please notify Arabia Travels as early as possible if changes are needed.

4. Meal Inclusions

- Breakfast Provision: Breakfast will only be provided if it is clearly stated in your package and included on your invoice. If breakfast is not included, you will be responsible for arranging your own meals.

- Optional Meal Services: If you wish to arrange additional meals (such as lunch or dinner), Arabia Travels can assist in coordinating these services at an extra cost through an external provider. However, we are not responsible for managing the quality or delivery of these external meal services.

5. Travel Insurance

- Strongly Recommended: Arabia Travels strongly recommends that all passengers purchase comprehensive travel insurance to cover unforeseen circumstances such as medical emergencies, flight cancellations, trip interruptions, lost luggage, or other disruptions.

- Customer Responsibility: It is your responsibility to arrange suitable travel insurance that meets your specific needs. Arabia Travels will not be liable for any expenses incurred due to lack of insurance.

6. Visa Requirements

- Saudi Visa Processing: Arabia Travels will assist with your Umrah visa application. However, visa issuance is at the discretion of the Saudi authorities. We are not responsible for any delays, denials, or issues related to visa processing.

- Non-Refundable Visa Fees: Visa fees are non-refundable once the application has been submitted, even if your visa is denied.

7. Group Activities and Transportation

- Scheduled Activities: Pilgrims are expected to join group activities on time. Late arrivals or failure to show up for scheduled transport (such as buses or shuttles) will result in the passenger arranging their own transport at their own cost.

- No Refunds for Missed Activities: No refunds or compensation will be provided for any missed group activities or transport due to tardiness or personal issues.

- Group Travel Expectations: Follow instructions provided by group leaders during the trip to ensure a smooth and organized journey.

- Discretionary Time: Outside of designated group activities, pilgrims will have discretionary time to engage in individual worship and explore independently. You are encouraged to use this time wisely for personal reflection and prayer.

- Safety: Please take necessary precautions and be aware of the risks before participating in any activity.

8. Amendments and Changes by Arabia Travels

- Trip Amendments: Arabia Travels reserves the right to make adjustments to the itinerary, including changes to flights, hotels, or activities, due to unforeseen circumstances such as airline schedule changes, weather conditions, or other factors outside our control.

- There maybe changes to service/activities/excursions due to reasons beyond our control, always we will ensure to find a suitable alternative. If no alternative is possible, we reserve the right to withdraw service/activity/excursion without reimbursement.

- Notification of Changes: We will notify you of any significant changes to your booking as soon as possible and provide alternatives where available. Any additional costs associated with changes will be the responsibility of the customer.

9. Force Majeure

- Unforeseen Events: Arabia Travels is not liable for disruptions to your travel plans caused by circumstances beyond our control, including but not limited to natural disasters, political unrest, pandemics, strikes, or government actions.

- No Compensation: In the event of a force majeure, no compensation will be provided. We will work to assist in rebooking or adjusting your travel plans where possible, but any additional costs will be borne by the customer.

10. Refund Policy

- Refund Eligibility: Refunds will be processed based on the terms of your booking and the policies of airlines, hotels, and other service providers. Please note that certain elements of your package (e.g., flights, hotels, and visas) may be non-refundable.

- Partial Refunds: Where a partial refund is applicable, processing times may vary depending on the provider. Refunds may take up to 30 days to process.

- Administrative Fees: Refunds, if applicable, may be subject to an administrative fee, which will be deducted from the total amount returned.

11. Customer Responsibilities

- Travel Documentation: Ensure that your passport is valid for at least 6 months from the date of travel and that you have obtained all necessary visas and permits. Arabia Travels is not responsible for any issues arising from invalid or missing documents.

- Compliance with Local Laws: All travellers are expected to familiarize themselves with and comply with the laws and customs of Saudi Arabia. Arabia Travels will not be liable for any legal issues, fines, or penalties incurred due to violations of local laws.

12. No Liability for Personal Items

- Personal Belongings: You are responsible for the safety and security of your personal belongings, including money, travel documents, and valuables. Arabia Travels is not responsible for lost, stolen, or damaged property during your trip.

- Security: It is advised to use hotel safes (if available) or bring your own padlocks to secure your belongings.

13. Health and Safety

- Medical Responsibility: It is your responsibility to ensure you are physically fit for travel and able to participate in the pilgrimage. Any pre-existing medical conditions should be disclosed to your travel insurance provider.

- Vaccinations: Please ensure you have received all required vaccinations before traveling, as mandated by Saudi authorities.

- Emergency Contacts: Provide emergency contact details to Arabia Travels and relevant authorities in case of an emergency.

14. Responsibility for Arrival at the Airport

- Punctuality: All passengers are responsible for arriving at the airport on time. Ensure ample time for check-in and security procedures.

- Missed Flights: Arabia Travels is not liable for missed flights due to late arrival. If you miss your flight, it is your responsibility to arrange alternative travel at your own expense.

- Travel Documentation: It is your duty to have all necessary travel documents, such as a valid passport and visa. Missing documents may prevent you from boarding.

- During any transits, it is your responsibility to ensure that your board the flight and ideally stick with the group so you don’t become separated,

15. Room Arrangements

- Quad Bed Sharing: Unless stated otherwise, rooms will be arranged on a quad bed-sharing basis. Pilgrims will share a room with three other travellers.

- Security of Personal Belongings: Each pilgrim is responsible for securing their own belongings. You are advised to bring padlocks to lock your suitcases and any valuable items when leaving the room.

- Room Assignment: Specific room preferences (single occupancy, upgrades, etc.) are subject to availability and may incur extra charges.

- Respect for Facilities: Please maintain cleanliness and respect the accommodation. Any damages caused to the property due to negligence will be your responsibility, and additional charges may apply.

16. Communication During the Trip

- Contact Information: Arabia Travels will provide emergency contact details and the number for your group leader. Ensure your phone is operational and accessible.

- Itinerary Updates: You will receive daily updates about your itinerary. It is your responsibility to keep track of meeting points and scheduled times.

17. Code of Conduct

- Respect for Fellow Pilgrims: Be respectful and considerate towards your fellow travellers. Disruptive behaviour towards others may result in removal from group activities without refund.

- Cleanliness and Decorum: It is your responsibility to maintain cleanliness in shared spaces and accommodation.

18. General

- It is your responsibility to download the Nusuk App to book the Umrah & Rawdah, please liase with your group leader for further information.

- Please make sure you bring extra money for expenses.

- Once landed ensure to have a SIM bought and your number communicated to the group leader.

- Policy Changes: Arabia Travels reserves the right to amend these policies as needed. Any updates will be communicated prior to or during your trip.

15. Final Confirmation

By paying the deposit, you confirm that you have read, understood, and agreed to all the terms and conditions outlined in this policy.
